Information you provide

We receive the information you enter in a form, send to us or provide through your B2B account. Fields marked as required are needed to process that request or operate the account; optional fields may be left empty. If you do not provide required details, the online request cannot be completed. You can also contact us by email or telephone.

Only include information needed for your project. Before uploading plans or other technical documents, remove unnecessary personal information and ensure you are authorised to share the contents.

  • Consultation and product enquiries: name, email, optional phone and location, project details, selected services or products, message, contact permission, language and submission time. Staff may add status updates and follow-up notes.
  • B2B accounts: email and sign-in information, company name, registration number, contact name, phone, address and application or approval status.
  • B2B projects and quotations: project name, selected products and quantities, notes, uploaded technical attachments, prices, discounts, delivery information, terms, quotation revisions, change requests, acceptance records and next steps. Records include the relevant account and action times.
  • Correspondence: the details and attachments you send by email or other contact channels, and our replies. Website notifications also create delivery and retry records.

Why we use this information

We use enquiry and project details to respond, understand your requirements and prepare proposals: steps you request before a contract and, where applicable, performance of a contract. For people representing a company, we use business contact details for our legitimate interest in managing that business relationship.

We use account information to review trade applications and provide the B2B portal. Staff review applications and prepare quotations; approval and quotation decisions are not made solely by an automated system. Previous quotation versions and acceptance details provide a record of the agreed work.

Our legitimate interests in preventing abuse and protecting the website, accounts and records support security checks and rate limits. Security checks may automatically block an unsuccessful or excessive submission; contact us if you need help. Where a record must be kept to fulfil an applicable legal obligation, that obligation is the basis for keeping it.

Optional website measurement is based on your permission, as explained below. Submitting an enquiry does not subscribe you to a newsletter. The contact checkbox concerns replying to that enquiry.

Access and service providers

Authorised VIRTUS TECH staff use enquiry and B2B information for their work. B2B records and technical attachments are restricted to the relevant account and authorised staff, rather than published in the catalogue. Providers supporting the website process the information needed for their services. Emails are also handled by the sender’s and recipient’s email services.

These providers operate internationally and processing may take place outside Albania. Their privacy information describes their processing practices. Contact us for information about the processing locations and transfer arrangements that apply to your information. This website does not promise that all information remains in Albania or the European Union.

Service providers and their privacy information

Vercel
Website hosting and delivery, including connection and security data.
Supabase
Database, account authentication and storage of uploaded technical files.
Resend
Delivery of website emails, including enquiry and B2B notifications.
Cloudflare Turnstile
Security checks on protected forms. Cloudflare processes browser and connection signals, including IP address, to detect bots; it also uses these signals to improve Turnstile.

Connection and security information

Hosting, authentication and security services may process IP addresses, browser and device details, request times, security signals and logs to deliver and protect the website. Consultation rate limits use keyed hashes derived from the IP address and email, rather than storing those values in the rate-limit table. These security records are separate from optional measurement.

Access controls and private file storage help protect B2B information. No online service can promise absolute security. Please keep your sign-in details private and tell us promptly if you suspect unauthorised access.

Cookies and browser storage

The language preference cookie remembers a language you select for up to one year. Authentication cookies support sign-in and account sessions. Blocking necessary cookies may prevent the portal from working.

To preserve an unfinished consultation when you change language or reload, the form stores a draft in this browser tab’s session storage. It includes entered contact and project details, your selections, contact permission, current step, a request identifier and submission status. A saved draft can be restored for up to 24 hours after its last update; an expired draft is discarded when next read, and a confirmed successful submission clears it immediately. This draft storage does not send your entries to us before you submit the form. On a shared device, close the tab and clear site data when finished; browser session-restore features may preserve tab data.

The virtus-measurement cookie stores only your allow or decline choice for 180 days. It is not a visitor identifier. You can change that choice with the measurement preferences control on this page or in the footer.

Optional website measurement

Only after you select Allow measurement, the website counts successfully saved consultation and product enquiries and clicks on our telephone and WhatsApp links. The measurement tables hold daily totals by action and language, without names, email addresses, messages, visited URLs, IP addresses or visitor profiles. Hosting and security services may separately process connection data.

The reports cover a rolling 90 days. Older totals are removed when a new measurement is recorded. Short-lived counters limit repeated clicks. Aggregated totals cannot later be separated by person.

Declining does not prevent you from using forms or contacting us. You can withdraw permission by choosing Decline in measurement preferences; this stops future optional measurement in that browser. Do Not Track and Global Privacy Control signals also disable optional measurement.

How long information is kept

Enquiry and B2B records do not currently expire automatically. Retention depends on whether an enquiry or project is active, whether an account is still needed, the need to document quotations and accepted work, and any applicable record-keeping duties or unresolved claims. There is no single fixed period for all these records.

You can ask us to review or delete information that is no longer needed. A request may require separate action for website records, attachments, correspondence and provider-held copies or backups. Information needed for a legal obligation or claim may have to be retained; closing an account does not itself delete its quotation history.

The cookie and optional measurement periods are set out above. Enquiry rate-limit entries more than one day older than the current hourly window are removed when a new enquiry is processed. Service-provider logs and backups have their own retention arrangements.

Your rights and choices

Under applicable data protection law, you may request access to your personal information, correction, deletion, restriction of processing or portability, and object to processing based on legitimate interests. These rights depend on the circumstances. Where we rely on consent, you may withdraw it without affecting the lawfulness of earlier processing.

Send your request to info@virtustech.al. Please describe the information or account concerned; we may need to verify your identity before disclosing or changing private records. You can also complain to Albania’s Information and Data Protection Commissioner.

External services and updates

Links to WhatsApp, Google Maps, social networks and partner websites open services with their own privacy practices. Information you send through those services is also handled under their policies.

We update this notice when website practices change. The date above identifies this version.
